Introduction

Worplesdon Rangers FC (‘WRFC’, ‘the Club’, ‘we’, ‘or’, ‘us’) takes your privacy very seriously.

Please read our Privacy Policy carefully to see how the Club will treat personal information that you provide to us when using this website, or in other circumstances when we collect data from you (including email).

We will take reasonable care to keep your information secure and to prevent any unauthorised access to, or use of it. We process all information in accordance with applicable EU and UK data protection legislation.

What Information Do You Provide To Us?

The information that you may provide to us via the Club’s website and by other means includes (but is not necessarily restricted to):

  • Your child’s Player Registration Form (PRF), completed annually
  • Registration forms associated with football Leagues to whom the Club is affiliated
  • E-mail enquiries (direct or via the website Contact Form)
  • Contributions to the website (e.g. ‘posts’ direct or via social media)
  • Competition entry forms
  • Subscription via the website to receive downloadable information, newsletters etc.
  • Details relating to the purchase of Club merchandise
  • Details relating to the provision of sponsorship.

The information that you are asked to provide will vary depending on the reason for its collection. In some instances, for example, if you purchase goods or services from us, the provision of certain information may be mandatory. However, we will never ask you for information that is not strictly relevant.

Please note that if you choose to participate in any discussion forum on the Club’s website, you may disclose personal information about yourself to other participants. If you do so, this is at your own risk.

How We Use Your Information

We will use your information to:

  • Respond to your enquiry
  • Acknowledge any contribution that you make
  • Administer the relevant competition or event
  • Send information to you
  • Fulfil any contract that we enter into with you
  • Undertake research that will benefit the Club
  • Send you marketing information, in accordance with the provisions set out below
  • Fulfil any other reasonable purpose for which you have provided such information.

We would like to send you marketing information, by post, email or SMS. Such information may be internally focused (e.g. news about a forthcoming Club event), or, alternatively, associated with one of our external partners or sponsors. By providing us with your information, you are agreeing to WRFC contacting you in this manner to provide you with such marketing information in accordance with the terms of this Privacy Policy.

If you do not wish to receive any of the above information or be contacted by us in accordance with the above, please update your preferences online (where the ‘unsubscribe’ facility is available), or, alternatively, contact our Club Secretary.

We may also use your information internally within the Club for management and training purposes. For example, we may aggregate the information you send to us with other data (so that you cannot be identified from that data) and use that aggregated data for administrative purposes and/or share with other people on a fully anonymised basis. For example, we may periodically undertake a postcode analysis of our Membership (in which individual postcodes remain anonymous) and share that aggregated information with a third party (such as Guildford Borough Council, one of pitch providers).

If you become a customer of ours by purchasing goods or services from us, we may send you further information that is related to your purchase, by post or email, or contact you by telephone.

If you submit your views to us via our website Contact Form, we may circulate them internally for training and management purposes. We may also publish your views on the website, any other website operated by us, our partners or in other media. If you do not want us to do this, please let us know when you submit your views.

Sharing Your Information With Third Parties

We will share your information with our partners and third-party service providers if this is necessary or reasonably required for any of the purposes detailed above. Such third parties are not entitled to use your information for their purposes.

We may also share your information with third parties for marketing purposes (in accordance with the paragraph headed ‘How We Use Your Information’, above), if you have indicated that you are happy to receive such information. Some of these third parties may be located outside the UK, including countries where data protection laws may not exist or be of a lower standard than the EU.

We are committed to protecting your privacy and we implement various security measures in relation to our processing and transfer of personal data. Please be advised however that the nature of the Internet is such that your data may flow over networks without full security measures and could be accessible to unauthorised persons.

When you visit our website, we may collect, process and use information about you which may not personally identify you but which may be helpful to us in improving the operation of the website. Such information may be collected through ‘traffic data’ and may entail the use of ‘cookies’, Internet Protocol (IP) addresses’ or other numeric codes to identify your computer. The Club’s website may contain links to other sites. Please be aware that we are not responsible for the privacy practices of these sites. We encourage our users to be aware when they leave the WRFC website, they should make themselves aware of the privacy policies applicable on these other sites. The WRFC Privacy Policy does not apply to information collected on third parties’ sites.

Your Right To Access the Information Held About You

You have the right to access the information that WRFC holds about you, in accordance with the Data Protection Act (1998). In order to do this, please make a written application to the Club Secretary, via the Contact Form. The Club may ask you to provide verification of your identity and to pay an administrative fee (currently £10.00), to provide a copy of the information that it holds. Please note that in certain circumstances, WRFC may withhold access to your information where it has the right to do so under current data protection legislation.

Updating Your Information

In the event that there is a change to your personal information (for example, your contact details), please let us know of this by providing your details online (where this facility is available), or by notifying any Officer of the Club in person, so that we can keep your personal information accurate and up to date.
